1. Introduction
Public Interest SA is committed to organising and hosting events that align with our mission and values. Events serve as crucial platforms for engaging stakeholders, promoting dialogue, and advancing our objectives. This Events Policy outlines the principles, procedures, and guidelines for planning, executing, and evaluating events hosted, supported, or sponsored by Public Interest SA.

4. Event Planning and Execution

Event Planning Committee: A dedicated committee is formed for each event, consisting of individuals responsible for event conceptualisation, planning, coordination, and execution.

Venue Selection: Event venues are selected based on factors such as accessibility, capacity, amenities, safety & security of participants, and alignment with the event theme and objectives.​​

Program Development: Event programs are developed to ensure engaging content, diverse perspectives, and relevant topics aligned with Public Interest SA's mission and values.​

Promotion and Marketing: Comprehensive marketing strategies are employed to promote events through various channels, including social media, newsletters, partnerships, and media outreach.​​

Participant Engagement: Efforts are made to ensure meaningful engagement of participants through interactive sessions, networking opportunities, and feedback mechanisms.

Right of Admission: The organisers reserve the right to withdraw or cancel an invitation to any guest or group of guests at any time if, in their sole discretion, such action is deemed necessary to protect the reputation of the event and to ensure the comfort, peace, and safety of Public Interest SA's invited guests, participants, and stakeholders.

Public Interest SA does not assume responsibility for any costs or expenses incurred by guests and/or participants in connection with their attendance at events we organise, regardless of how these costs arise.

PHOTOGRAPHY & VIDEO MATERIAL USE CONSENT POLICY

Introduction
At events organised by Public Interest SA, we value and respect your privacy and right to control the use of your image and likeness. We strive to maintain transparency and uphold ethical standards in all aspects of our activities. This Photography & Video Material Use Consent Policy outlines how we collect, use, and share photographic and video materials for future promotional and marketing purposes and seeks your consent for such usage.

Consent for Photography & Video Material Use
By attending any of our events, you hereby grant consent to Public Interest SA and/or its agents to capture and use photographic and video material featuring you for the following purposes:​

Promotional and Marketing Materials: Your images and likeness may be used in future promotional and marketing materials related to the event, including but not limited to brochures, websites, social media, and other promotional channels.

Archives: Your images and likeness may be preserved in the event's archives for historical and documentation purposes.

Conditions of Use:

Public Interest SA will not sell the images or footage for any commercial purpose.

Your consent is voluntary, and you have the right to withdraw your consent at any time by notifying Public Interest SA in writing.
Rights and Ownership:
You retain the copyright to your likeness. Public Interest SA will not use your images or footage in any way that is harmful, derogatory, or contrary to your interests.

Duration of Consent:
This consent is valid indefinitely from the date of the event unless you request its withdrawal in writing.

Withdrawal of Consent:
You have the right to withdraw your consent for the use of your photographic and video material at any time. Please contact Public Interest SA in writing to request the removal of your image and likeness from promotional materials. Once your request is received, Public Interest SA will cease using your materials for future promotions.

PARTICIPANT INDEMNITY AGREEMENT By participating in any of the events organised by us or in which we are co-hosts, you agree to the following terms and conditions as a participant in the event mentioned above: 1. Assumption of Risk You acknowledge and understand that participation in the event may involve certain inherent risks, including but not limited to physical injury, damage to property, or other losses. You voluntarily choose to participate with full knowledge of these risks, and I assume full responsibility for my participation in the event. 2. Release of Liability In consideration of being allowed to participate in the event, you hereby release, waive, and discharge Public Interest Project SA NPC, its directors, employees, agents, volunteers, sponsors, and any other affiliated entities (collectively referred to as "Event Organizers") from any and all liability, claims, demands, or causes of action that may arise from my participation in the event, including but not limited to: -Personal injury (including death) or property damage sustained by me or any third party; -Any damages resulting from accidents, negligence, or otherwise. 3. Indemnity You further agree to indemnify, defend, and hold harmless the Event Organisers from any claims, liabilities, losses, costs, or expenses (including attorney fees) that may arise as a result of my participation in the event, whether caused by negligence or otherwise. 4. Medical Treatment In the event of injury or illness during the event, I authorise the Event Organisers to provide or arrange for medical treatment as deemed necessary. I agree to bear all costs associated with any medical treatment required and release the Event Organizers from any liability in relation to such treatment. 5. Compliance with Rules You agree to abide by all rules, regulations, and instructions provided by the Event Organizers or the event venue, including but not limited to safety protocols. I understand that failure to comply may result in my disqualification or removal from the event. 6. Photography and Media Consent You consent to the use of any photographs, video recordings, or media coverage in which I may appear during the event for promotional or commercial purposes by the Event Organisers without compensation or prior approval. 7. Governing Law This Indemnity Agreement shall be governed by and construed in accordance with the laws of the Republic of South Africa, and any disputes arising from this agreement shall be subject to the exclusive jurisdiction of the courts in Johannesburg High Court, Gauteng Division]. 8. Entire Agreement This agreement constitutes the entire understanding between me and the Event Organisers with respect to the subject matter hereof and supersedes any prior agreements, understandings, or representations.
